JOB TITLE: Administrative Assistant
SALARY RANGE: $14 – $25 per hour
REPORTS TO: Borough Administrator or Designee
DEFINITION:
Under direction, performs administrative and office management duties of considerable complexity and responsibility; organizes and supervises clerical or administrative support functions within a department or unit; assists in the preparation and control of budgets, records, reports, and correspondence; oversees the clerical functions of various municipal department; may be required to work in other departments as directed by the Borough Administrator; performs related duties as required.
EXAMPLES OF WORK:
- Coordinates and supervises clerical activities and office functions.
- Assists in organizing and controlling departmental workflows and office systems.
- Gathers and compiles statistical and financial data for administrative or budget reports.
- Composes correspondence, reports, and memoranda; prepares meeting agendas and minutes.
- Maintains confidential and sensitive records and files.
- Schedules meetings, appointments, and travel arrangements for department personnel.
- Prepares, proofreads, and edits complex documents using various software applications.
- Responds to inquiries from the public, elected officials, and other agencies.
- Trains and guides clerical staff as assigned.
- Maintains inventory and orders supplies.
- Ensures compliance with applicable administrative procedures, rules, and agency policies.
- May be temporarily assigned to support other departments or functions within the municipality as operationally required by the Borough Administrator.
REQUIREMENTS:
- Education: Graduation from high school or vocational school or possession of an approved high school equivalency certificate.
- Experience: Four (4) years of experience in clerical work involving the gathering, reviewing, and analyzing of data, two (2) years of which shall have involved administrative support or supervisory responsibilities.
- Substitution: Successful completion of coursework from an accredited college may be substituted on a year-for-year basis for up to two (2) years of the required non-supervisory experience.
KNOWLEDGE AND ABILITIES:
- Knowledge of modern office practices, procedures, and equipment.
- Ability to analyze administrative problems and recommend solutions.
- Strong organizational and multitasking skills.
- Ability to prepare clear, accurate, and comprehensive reports and correspondence.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Knowledge of records retention and confidentiality standards.
- Ability to supervise and train clerical staff effectively.
- Excellent written and verbal communication skills.
- Flexibility and adaptability to support multiple departments as needed.
LICENSE:
Appointees will be required to possess a valid driver’s license in New Jersey only if the operation of a vehicle is necessary to perform the essential duties of the position.
